Short version: your audio and transcripts stay on your Mac. When Pro needs to decide or draft, a short excerpt goes to a language model. That is the whole trade.

Who we are

Toldbird is operated by GLX Technologies LLC, a limited liability company organized in Wyoming, United States (“we”). GLX Technologies LLC is the controller of the personal data described here. Write to supporttoldbird.com with any question or request.

What stays on your Mac

Toldbird hears your microphone and your Mac’s audio during a meeting you start. Transcription, speaker separation and the meeting history run on your Mac. Audio, transcripts, notes, your profile and meeting briefs are saved in your user Library folder on your Mac. We do not receive them, and you can delete them at any time from the Meetings window or the Finder.

Speakers are told apart for the meeting at hand. No voiceprint or other voice data is stored.

What leaves your Mac, and why

Model prompts (Pro). To decide whether you need something and to draft an answer or a coach hint, Toldbird sends a short excerpt to a language model: the last few lines of the conversation, your meeting brief, the mode and the question being answered. It goes to OpenRouter, which routes it to the model provider, through our server. The recording and the full transcript are never sent. We do not use excerpts to train models.

Suggestion records (Pro). For each suggestion the app sends our server a text-free record: its kind, its timing and its outcome. Transcripts never leave the Mac, and these records contain no transcript text.

Lookup (Pro). When you press Lookup, the question text (never the transcript or audio) is sent through our server to the Brave Search API, and up to three result snippets come back with their sources. We show them on your card and do not store them. Brave handles the query under its search privacy policy.

Cards across your devices. When you are signed in, each card (the question, the draft and what you chose) is synced to your account so your other devices can show it.

Calendars (Pro). If you link a Google or Microsoft calendar, we keep the access token and read upcoming events (title, time, attendees, location and meeting link) to brief Toldbird before a meeting. Unlink at any time in the app and we delete the token.

Calendar data from Google is used only to show and prepare your upcoming meetings inside Toldbird. Toldbird’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use it for advertising or sell it, and humans do not read it except with your consent, for security, or as the law requires.

Your account and payments

To sign in we keep your email address and your plan. Payments are processed by Stripe; we receive the purchase record (amount, date, status) and never your card number. We keep purchase records as long as tax and accounting law requires.

Reservations

When you reserve a founding seat we keep your email address, role, team size, the page you used, and the IP address and browser string your request arrived with (to stop abuse). We use them to tell you when checkout opens and for nothing else. Ask us and we delete the reservation.

Your choices and rights

You can ask us for a copy of your account data, to correct it, or to delete it, by writing to support. Deleting your account removes synced cards, linked calendars and your sign-in. Depending on where you live you may have further rights under local law, and you may complain to your local data protection authority.

We store account data in the United States. Toldbird is not meant for children under 16.

Changes

If we change this policy in a way that matters, we update the date above and tell signed-in users in the app before the change takes effect.
